Packaging must carry the markings the law requires in your destination market, such as origin and product identity. Other items depend on the product, certification, or sales channel. Batch numbers, handling icons, and QR codes are strong recommendations.

I work on custom and bulk vinyl flooring projects, and I see the same problem often. Buyers treat every item on a carton as a legal duty. Others skip items that the law does require. Both mistakes cost money. The first fills the box with claims you cannot prove. The second can stop a shipment at customs.

The clear way to plan a carton is to sort every item into three groups. Mandatory items come from the law in the market you sell to. Conditional items apply only to certain products, certificates, or sales channels. Recommended items help with logistics, claims, and customer service. In this guide I use this method for LVT, SPC, WPC, dry back, click lock, and loose lay products in the US, EU, UK, and other key markets.

Origin marking, product identity, and importer or manufacturer details are market-dependent legal requirements. CE and DoP, certification logos, and barcodes are conditional. Batch numbers, handling icons, and QR codes are recommended.

Sorting Carton Information by Risk

This table is a planning tool. It is not legal advice. Rules change by country, product type, and sales channel, so I always confirm the final list for the destination market before printing. The most useful habit is to ask one question for each item: "Who requires this, and where?" If the answer is "the law," it is mandatory. If the answer is "a certificate, a retailer, or a contract," it is conditional. If the answer is "it helps us," it is recommended.

What Legal Markings Apply in the US, EU, UK, and Other Markets?

Check the origin marking rules for your destination, including whether they apply to the product, the packaging, or both. For the EU, check CE marking and the DoP. For Great Britain, check CE and UKCA routes. For Canada, plan English and French for required consumer information.

Market-by-Market Rules

Country of origin is the item customs officers look at first. Use wording such as "Made in Vietnam." Country-of-origin marking rules differ by destination. Some markets require origin information on the product or its packaging, subject to applicable exceptions. Printed carton markings or securely attached labels may be acceptable when they meet the relevant rules. I prefer to print the mark on the carton so nothing can fall off in transit.

For the EU, resilient floor coverings that fall under the harmonised construction product rules need CE marking and a Declaration of Performance. EN 14041 is the standard I check for these products. The marking can go on the product, label, packaging, or accompanying documents, based on the rules that apply. The EU is also moving to a new construction products regulation, so I check the current transition dates.

Legal marks are one side. The other side is the set of logos that brands love to print, so I will cover those next.

Which Certification Logos Can I Put on My Vinyl Flooring Boxes?

Print FloorScore, GREENGUARD Gold, or Eurofins Indoor Air Comfort Gold logos only when your product holds a valid certificate and the program allows the logo. These are voluntary programs, not universal packaging rules.

Voluntary Does Not Mean Optional to Get Right

Indoor air quality certificates add real trust for buyers. They also carry strict rules. Each program says who may use the logo, on which products, and in what form. A logo on a box without a valid certificate can lead to a legal dispute and a damaged brand. Some programs also set rules for certificate numbers, so I follow the certifier’s guide and do not print a number just because it looks official.

The same care applies to other claims. Phthalate-free and heavy-metal-free statements need test reports. California Proposition 65 warnings apply only when the product needs one. Fire and slip ratings, such as ASTM E648 Class 1, Bfl-s1 under EN 13501-1, or R9/R10, belong on the box only when they match your test reports and your target market. I treat each claim as a document I must be able to show on request.

What Product Specs and Traceability Data Belong on the Carton?

Show product type, thickness, wear layer, plank size, underlayment, coverage per box, piece count, weight, brand, importer details, batch number, and SKU. Use the units your market expects.

Specs, Identity, and Traceability

Installers read this part of the carton first. A clear spec block stops wrong orders and short jobs. I also place the brand name, collection name, importer or brand owner address, and contact details here. The address helps with customs and trust. A short QR code that links to guides and warranty pages saves support time.

The batch number is the most useful item for claims. Floors from different production runs can show small color shifts, and an installer who mixes lots on one job creates a complaint. I print the batch number large and add the production date or shift code. Some markets also have traceability rules, so this data does double duty.

I always calculate box coverage from the actual usable dimensions of each plank and the number of pieces in the carton. Incorrect coverage figures can cause short orders and returns. I also state clearly whether the thickness includes the attached pad, so buyers do not read 5.0 mm as 6.0 mm.

Good data helps the buyer. Barcodes and symbols help the carton move through the supply chain.

How Do I Choose Barcodes and Handling Symbols?

Choose barcodes by sales channel and warehouse needs. Use EAN or UPC for retail scanning when required. Use ITF-14 or GS1-128 for case-level logistics. Set stacking limits and lift warnings from packaging and pallet tests.

Barcodes and Pictograms

Not every vinyl flooring carton needs two barcode sets. Retailers may require EAN or UPC barcodes for checkout and inventory systems. Warehouse-only cartons may use ITF-14 or GS1-128 depending on the customer’s logistics requirements. GS1-128 can also carry batch data. I ask the buyer which systems the warehouse and retailer use, then I choose. I always scan a printed sample before I approve mass printing.

Handling icons help, but I do not copy numbers from other brands. A stacking limit should come from compression testing of the carton and pallet tests with the real product. A two-person lift icon should follow the handling rules and customer needs for the box weight. Heavy SPC cartons crush easily at the bottom of a pallet, so this testing pays for itself.

What Should the Carton Say About Installation and Warranty?

Keep it short. Say that the subfloor must be suitable, and tell readers to follow the manufacturer’s temperature, humidity, storage, and acclimation rules and to read the full instructions. Match warranty text to the written warranty.

Short Text That Matches Your Documents

Rules differ by product. SPC, WPC, LVT, dry back, and loose lay floors can each need different conditions, and some products need no extra acclimation if storage and site conditions meet the stated limits. Because of this, I do not print one fixed time or temperature range on every carton. I print a short line that sends the reader to the full guide, then add icons only when they match the real instructions.

Warranty text needs the same care. State the residential and commercial periods that appear in your written warranty. Avoid a blanket line that says any install mistake voids the whole warranty. Say that the warranty terms apply and point to the full document. This keeps the box and the paper warranty in line and lowers dispute risk.

What Does a Real Vinyl Flooring Carton Label Look Like?

A strong label for a 5 mm SPC click-lock floor shows the brand, collection, specs, coverage, batch, origin, and importer details. Certification logos appear only when they apply and the holder has permission.

A sample like this saves a lot of back-and-forth. The buyer sees what the factory needs, and the factory sees what the buyer has to confirm.

A good label also needs clear roles, so nothing gets lost between the two sides.

Who Is Responsible for Each Part of the Packaging?

The factory supplies product data, batch codes, and manufacturing details. The brand or importer confirms the market and channel rules. Both sides check certification rights, then approve the print file in writing.

Roles in an OEM Packaging Project

Packaging problems often start with a gap in who owns what. I use a simple split. The factory knows the product, so it provides the specs, test data, and batch system. The brand owner or importer knows the market, so it confirms the legal and retailer rules. Certificate use is a shared check, because the holder of the certificate is the one who can approve the logo.
