I have graded flooring batches on the production line for years, and the pattern is always the same. A client falls in love with a hand sample the size of a coaster, signs off, then finds a totally different look once thousands of square meters go down. A mock-up closes that gap. It is a full-size preview of the real floor, built with the real subfloor, the real adhesive system, and the real installer. A small sample tells you what the surface looks like in your hand. A mock-up tells you what it will look like under your feet, in your building, for the next ten years. Skipping this step, or checking it without clear pass/fail standards, is where most of the expensive surprises come from — color cast under office lighting, seams that open at the edges, or subfloor bumps that telegraph straight through the wear layer.

This guide walks through every checkpoint I use myself: how to set the mock-up up correctly, what counts as a pass, and when to reject it outright.

Before you touch a caliper or a flashlight, the type of PVC flooring you are buying changes what actually matters in the mock-up.

Which Mock-Up Checks Matter Most for Your Flooring Type?

Homogeneous sheet needs welding and coving checks. Click-lock LVT/SPC needs joint and flatness checks. Match your priorities to your product before you inspect.

Not every PVC product fails the same way, so I always start here before running a single test.

With the priorities set, the next step is making sure the mock-up is actually representative of your real project.

How Should You Set Up a Mock-Up Before Inspecting It?

Set it up on-site, at a size large enough to show real seams and pattern repeats, on a subfloor system that matches your project. Anything less gives you data you cannot trust.

Location is the first thing I check. A mock-up built in a vendor showroom under warm halogen lighting will never match how the floor reads under your building’s fluorescent or daylight-heavy windows. I always push for on-site installation, or at minimum a space with near-identical lighting and subfloor conditions.

Size is not fixed by a universal rule — I look for a mock-up large enough to show representative seams, pattern repeats, perimeter details, and installation workmanship. For many projects that lands around 2m x 2m or four to six full planks, but a highly patterned product or a project with tight corners may need more.

There is one setup question buyers skip more than any other, and it is the one that causes the most disputes later.

Does the Mock-Up Match the Same Batch as Your Final Order?

Confirm the mock-up uses the same production batch, color code, and wear layer as the order you are approving. A beautiful mock-up from a different batch protects nobody.

A mock-up looking great tells you nothing if the mass production run comes from a different dye lot or production batch. I always record the batch number, color code, and product code used to build the mock-up, and I confirm in writing that the bulk order will be produced to the same standard. This single step is what lets you hold a supplier accountable if the final shipment shows color drift — without a documented batch reference, there is no way to prove the material changed.

Batch matching protects the material side. The installation system deserves the same level of scrutiny.

Does the Mock-Up Use the Actual Installation System?

Confirm the mock-up was built with the exact adhesive, trowel notch, and application method specified for your project. A mock-up glued differently from the real job tells you very little.

This is a gap I see often. A supplier builds a beautiful mock-up, but uses a different adhesive, a different trowel notch size, or a different open time than what will actually be used on the full project. Before I sign off, I confirm the mock-up used:

  • The adhesive brand and product specified for the project
  • The correct trowel notch and spread rate
  • The manufacturer’s specified open time before laying
  • The correct rolling or pressing method after laying
  • Installation at the temperature and humidity expected on-site

If any of these differ from the mock-up to the real job, the mock-up’s value drops sharply, since adhesion and seam behavior depend heavily on this system.

With the installation system confirmed, the subfloor underneath deserves its own close look, since most PVC failures start there.

What Subfloor Conditions Should You Verify?

Check moisture, pH, flatness, and contamination, plus compatibility with the primer and leveling compound. Most PVC flooring failures start below the surface, not on it.

I treat the subfloor, primer, leveling compound, adhesive, and flooring as one connected system rather than separate items. On the mock-up, I verify:

What Visual and Aesthetic Checks Should You Run?

Check color under real project lighting, pattern realism across planks, and surface texture alignment. These three decide the first impression of the whole floor.

Color is the most common source of disputes I see, and it almost always comes down to metamerism — a color matching under one light source and shifting under another. I inspect the mock-up under natural daylight, then again under the project’s artificial lighting, at morning, noon, and evening if possible. A shade that looks perfect at noon can look grey or yellow by evening.

Pattern realism is next. Wood or stone-look PVC needs enough grain variation across planks that it does not repeat obviously every few tiles. I also check film print clarity and shade variation plank to plank. Finally, surface texture: embossed-in-register (EIR) finishes should align the physical texture with the printed grain, and gloss level should match what the room calls for.

Looks are only half the story. The next set of checks tells you whether the floor will hold together structurally.

How Do You Verify Dimensional and Structural Accuracy?

Measure total thickness with a calibrated gauge and confirm wear layer against manufacturer documentation. Check seam tightness for your specific installation method.

Seam checks depend on the installation type:

  • Click-lock (SPC/LVT): lock engagement strength, edge chipping, seam gaps, expansion gaps at the perimeter
  • Dry-back/glue-down: seam tightness, adhesive squeeze-out
  • Sheet vinyl: thermal or cold welding seam quality and alignment

I also run a straightedge along plank and tile edges, since small edge inaccuracies accumulate across a large open floor and end up as visible drift by the far wall.

For sheet vinyl in particular, there are a few checks that go well beyond a simple seam inspection.

What Extra Checks Apply to Sheet Vinyl Installations?

Inspect weld quality, coving, and internal corners closely. In hospitals, labs, and schools, these details matter more than a basic scratch test.

Heat-welded seams need their own close inspection:

  • Weld rod color match to the field
  • Welding depth and consistency along the full seam
  • Trimming quality and seam alignment
  • Any burn marks or discoloration at the weld

For projects that require coving — common in hospitals, labs, and food-service areas — I also check the cove former, cap strip, wall upstand, and internal and external corner welding. These details are where sheet vinyl installations most often fail inspection, even when the flat field looks flawless.

Flat field performance and edge details both matter, but the spots that fail most often are the transitions, not the open field.

What Transition and Detail Points Should the Mock-Up Include?

Include at least one door threshold, wall junction, or transition strip in the mock-up. Edges, corners, and doors fail far more often than the middle of the floor.

A good mock-up is rarely just a flat open area. I ask suppliers to include at least one of the details the real project will have, such as:

  • Door threshold
  • Wall junction or baseboard line
  • Column or pipe penetration
  • Transition strip to tile or carpet
  • Expansion joint
  • Stair edge, if applicable

Problems concentrate at these points far more than in the center of a room, so an installer who cuts a clean straight edge but struggles at a door jamb is telling you something important about the full job ahead.

Underfoot performance is the last physical test before we get into pass/fail standards.

What Should You Test for Underfoot and Real-World Performance?

Walk the mock-up, check for subfloor telegraphing, and run quick scratch and water tests. This is where a spec sheet stops being enough.

I walk the mock-up in real footwear to check for hollow sounds, footstep noise, and underfoot cushioning, and I inspect closely for subfloor telegraphing — any bump or trowel mark from below showing through the surface. I also run quick, non-destructive field tests: shoe scuffing for scratch resistance, a rolling load test, a cleaning chemical spot-check, and a water test at the seams, since spills find their way in at the seams first. Edge curling gets checked across a temperature cycle, since lifting or expansion early on is a strong warning sign.

All of these checks lead to one question every buyer eventually asks: how do I know if this actually passes?

What Are the Pass/Fail Standards for Each Mock-Up Item?

Compare each item against a clear acceptance standard, not just a general impression. A checklist without pass/fail criteria leaves too much open to interpretation.

I tell every buyer to walk away from a mock-up if it shows any of the following:

  • Visible substrate telegraphing
  • Poor or inconsistent welding

Any one of these on a mock-up is a preview of the same problem across the entire floor, and it is far cheaper to catch here than after installation.

Once a mock-up passes every check, it becomes something more valuable than a sample — it becomes your reference standard.

How Do You Document and Sign Off on the Mock-Up?

Photograph every approved and rejected element, keep a signed golden sample, and put corrective actions in writing before mass production starts.

I create a photographic log covering both approved and rejected elements of the mock-up, dated and labeled clearly, along with the batch number and color code confirmed earlier. The approved sections become the "golden sample" — signed, dated, and retained as the benchmark against which the mass shipment and final installation are checked. If anything falls short, I put the discrepancy in writing and send it to the manufacturer or contractor before full-scale production or installation begins.
