Use the table below as a base to check any quote you receive. A factory material quote and a full supply-and-installation quote often include different items. Each quote should clearly show what is included, what is optional, what you buy locally, and what is left out, such as installation labor. The total cost follows a simple formula: Total Quoted Cost = Flooring + Accessories + Preparation + Customization + Logistics + Services + Applicable Taxes and Duties. A line only counts if the quote scope includes it, so check the Included/Excluded column for every row. Also keep four numbers apart. The net installation area is the floor you need to cover. Two rolls with the same total thickness can be very different products. Total thickness only gives the size. The wear layer thickness, for example 1.2 mm or 1.5 mm, influences durability. But real service life also depends on the PVC formulation, the surface treatment, the abrasion resistance, the traffic level, and the maintenance. A UV surface treatment is a separate coating and not the same as the wear layer, so the quote should name each one. For waste, state the net installation area and show the cutting allowance as its own line. A 3%–5% allowance may suit simple layouts. Complex projects with color changes, custom markings, or odd room shapes may need more. For compliance, ask for product-specific test reports for your market and use. How to Check Each Accessory

Seam method comes first. Not every system needs a heat-welded seam. Some systems allow cold welding or other approved seam treatments, but the chosen method must meet the product manufacturer’s requirements and the site’s traffic, moisture, and hygiene needs. So the quote should say the method, the color, the material, and the total length. For a first estimate, simple layouts with 2 m wide rolls may have roughly 0.5 linear meters of longitudinal seams per m². Final welding rod quantities should be calculated from the actual seam layout, including end joints and installation waste. Adhesive choice depends on the backing, the subfloor, the loads, and the manufacturer’s rules. Water-based acrylic adhesive is common for standard indoor work, and some heavy-duty jobs may need an approved PU or other special adhesive. Ask for the coverage rate in kg/m² from the data sheet. Moisture needs a test, not a guess. A ground-floor slab does not always need a membrane, and a wet subfloor must be treated within the limits of the flooring and adhesive system. Add an extra cushion or acoustic layer only when the manufacturer approves it, because it can change shock absorption and ball behavior.

What Subfloor Preparation Items Should the Quote Cover?

State who supplies the primer, self-leveling compound, moisture treatment, and marking materials, and in what quantity. These items are often left to the buyer, so ask for them early to avoid a surprise on site.

Why These Items Cause Budget Gaps

PVC flooring shows the bumps in the subfloor. If the concrete is uneven, cracked, or too damp, the floor will not sit well and seams may open later. So ask the supplier to base the preparation list on a site assessment. Many self-leveling compounds use about 1.6 to 1.8 kg per m² for each mm of thickness, but check the product data sheet. For sports floors, court markings are the next gap. Lines may be factory-integrated, or they may be painted on site with a manufacturer-approved sports line paint. The paint must work with the surface coating of your floor. Two-component PU paint is common, but it is not the only option. What Should Logistics and Packaging Cover?

State the packaging method, the Incoterms 2020 rule, the named port or place, and the container loading plan. Also list every charge that the price includes or leaves out.

PVC rolls are heavy and dense, so packaging matters. Ask for the core tube size, the wrapping, the end-cap protection, and the palletizing or bundling method. A crushed roll edge can ruin a whole roll. Then check the delivery term. Incoterms split delivery duties, costs, and risk in different ways, so a low FOB price cannot be compared with a DDP price. The quote should state the Incoterms 2020 rule, the named port or place, and all included or excluded charges. For containerized shipments, also consider whether FCA is more suitable than FOB, depending on how the goods are handed over to the carrier. Last, ask for the loading plan. A full container load (FCL) usually costs less per m² than a less-than-container load (LCL). With PVC, the weight limit often comes before the volume limit, so ask how many m² fit in one container.

Ask for written warranty terms, a spare stock plan, a clear lead time, a sample approval step, and a payment schedule tied to milestones. Each point should appear in the quote or in the contract.

Many quotes say "10-year warranty" and nothing else. Ask for the written terms. They should define the covered manufacturing defects, the wear-through limit where it applies, delamination, the exclusions, the claim steps, and the warranty period. Normal wear, scratches, and damage from misuse are often outside the warranty, so read the exclusions with care. For spare stock, I suggest 1%–2% extra from the same dye lot for future repairs, and I keep it apart from cutting waste. Then check the schedule. The quote should show the production lead time, the sample approval steps, and the payment milestones, such as a deposit, a payment before shipping, and a final payment after delivery.
